Managing Venue Bookings
This guide covers the booking request workflow from receiving inquiries to confirming reservations.
Booking Request Workflow
1. New Request
When an organizer submits a booking request, you'll see it in Company > Venues > [Venue] > Bookings. Each request includes:
- Requested dates and times
- Expected attendance
- Special requirements
- Contact information
2. Review & Respond
You have several options:
- Send Quote — Provide pricing details with line-item breakdown
- Request Info — Ask clarifying questions via the message thread
- Decline — Decline with a reason (dates unavailable, capacity mismatch, etc.)
3. Quote Negotiation
- Send a detailed quote with pricing breakdown
- The organizer can accept, request changes, or cancel
- You can send revised quotes as needed
4. Confirmation
Once the organizer accepts your quote:
- Click Confirm Booking to finalize
- The dates are automatically blocked on your availability calendar
- Both parties receive confirmation notifications
5. Completion
After the event concludes, mark the booking as Complete.
Availability Calendar
Keep your calendar up to date to:
- Prevent double bookings
- Show organizers your real-time availability
- Automatically decline requests for blocked dates
Communication Tips
- Respond to requests within 24 hours
- Use the built-in messaging thread for all communication
- Be transparent about pricing and any additional fees
- Upload relevant documents (contracts, layouts) to the thread
